A lot has landed since the last update: your booking page gets date ranges and direct links for existing clients, portal emails now go out on YOUR schedule, proposals get an intro note and a bigger logo, you can finally see every email VowProof sends for you (and hear about it when one bounces), automatic payment reminders now truly send, and every account gets a Getting Started checklist. One action item: if you set up a booking deposit before this week, please re-save it — details below. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📅 YOUR BOOKING PAGE: DATE RANGES + DIRECT LINKS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Limit a consultation type to a date range. Consultations → Consultation Types Each consultation type now has two optional dates: ``` • Only Allow Bookings From • Only Allow Bookings Until ``` Set them and clients can only book inside that window. Perfect for things like a September 1–15 mini-session push. Leave them blank and booking works exactly as before. The booking page tells clients when booking is open and greys out unavailable dates. • Use a direct booking link for clients already in your pipeline. Open a consultation type's actions menu and choose: ``` Copy Direct Link ``` It opens the same booking page, but appointments made from that link do NOT create a new lead. Perfect for: ``` • Design reviews • Follow-up calls • Check-ins • Existing clients ``` Your regular booking links still create leads exactly as before. • Action needed: re-save your booking deposit. We found an issue where turning on Require Deposit for a consultation type showed a success message but did not actually save the setting. That meant clients were never asked to pay the deposit. This is fixed. If you previously set up a consultation deposit, open the consultation type and save the deposit settings again to activate it correctly. • Type-specific booking links now use your brand fonts. They now match your main booking page. • Turning off online booking now disables every booking link. Previously, type-specific booking links could continue working after online booking was turned off. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 🔑 PORTAL ACCESS ON YOUR SCHEDULE ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Sharing a proposal by link no longer automatically emails the client their portal login. When using Share Link Yourself, nothing reaches your client until you actually share the proposal. The portal welcome email with their PIN now sends when you email the proposal instead of when you simply publish it. • Wait until the proposal is signed. Portal → Portal Settings Turn on: ``` Send portal welcome email only after the proposal is signed ``` Your client will receive their portal login only after they accept and sign. • Turn automatic portal emails off completely. Portal → Email portal access to clients automatically Switch it off and VowProof stops automatically emailing portal credentials. The portal account is still created behind the scenes. You can share access whenever you choose using: ``` • Copy Portal URL • Reset PIN • Resend Access Email ``` Manual sends always work regardless of the automatic-email setting. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📝 PROPOSALS: SAY HELLO, AND SAY IT BIGGER ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Add an introduction at the top of proposals. The proposal editor now includes a client-facing text area above your packages. Use it for: ``` • A welcome message • What's included • Instructions for choosing • Any note you normally put in a separate email ``` • Make your proposal logo larger. Settings → Business → Financial Settings → Proposal Logo Size Choose Large and your logo displays at up to 1.5× the standard height on: ``` • Proposals • Printable summaries • Contracts ``` ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📋 QUESTIONNAIRES: LINKS, TITLES & VERSIONS ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Copy a questionnaire link and send it yourself. Attach a questionnaire to a project and press: ``` Get Link ``` VowProof publishes it and copies the no-login link so you can send it by: ``` • Email • Text • Your own connected inbox ``` Once published, the button changes to Copy Link. • Hide the questionnaire title from clients. Templates → Your Form → Appearance & Typography → Form Title → Hide Title — Fields Only The questions, intro text, and respond-by date still appear normally. Only the title row is hidden. Your internal answer summaries still show the title so you can tell questionnaires apart. • Saving without changes no longer creates a new questionnaire version. VowProof now checks whether anything actually changed before creating a new version. If nothing changed, your client sees nothing new. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 🗂 SMALL THINGS THAT ADD UP ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Export your product catalog. Products → Export CSV Download your full catalog including: ``` • Product names • Categories • Sizes • Prices • Pricing tiers ``` Ready for Excel or Google Sheets. • Scheduled calls now appear directly on the lead. Opening a lead now shows a Scheduled Calls section. You'll see: ``` • Upcoming calls first • Date and time • Duration • Meeting link • Notes from the client ``` Times display in YOUR studio timezone. If your client booked from another timezone, their local time appears underneath. Cancelled calls remain visible and clearly marked. • Upcoming Deadlines now explains what it includes. The Dashboard card now has a What Shows Here note. It tracks upcoming items within the next two weeks: ``` • Project event dates • Lead event dates • Proof review deadlines • Unpaid invoice due dates ``` • Emails written from Compose now appear in the project's Sent Emails list. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📬 SEE EVERY EMAIL VOWPROOF SENDS FOR YOU ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • A new Email Activity card is available in your Inbox. Inbox → Email Activity Every email VowProof sends on your behalf now has a record, including: ``` • Proof notifications • Payment reminders • Portal invitations • Approval confirmations ``` You can see: ``` • Who it went to • What was sent • What happened afterward ``` • Problems appear first. Email Activity opens on Needs Attention. This includes messages that: ``` • Bounced • Were marked as spam • Failed • Could not be confirmed ``` Switch to All Emails for the full history. Errors are explained in plain English. • Click any subject line to see exactly what your client received. • Bounce alerts now come to you. When an email cannot be delivered, you receive a notification that opens Email Activity already filtered to the problem. This also includes messages sent through connected Gmail and Microsoft 365 accounts. • Payment Reminder settings now correctly show 0 when Final Notice is disabled. 0 always means Off. • The Client Portal's Sign Proposal card now opens the proposal correctly. This fixes cases where proposals kept as leads until acceptance, or proposals tied to archived projects, could appear to do nothing when clicked. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 💳 PAYMENT REMINDERS NOW ACTUALLY SEND ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Automatic payment reminders are now working. An apology first: if you previously had Payment Reminders turned on under: ``` Workflows → Automation Rules ``` those reminders were not being sent. The issue affected all accounts and has now been fixed. • Nothing is being sent retroactively. Clients will NOT suddenly receive old reminders for missed dates. Only future reminder dates will trigger emails. If you do not want reminders to send, turn the rule off under: ``` Workflows → Automation Rules ``` • Payment reminders now include a View Invoice button. Your client can go directly to the invoice and pay online when online payments are enabled. • Reminder amounts now use your actual currency and formatting. The payment reminder and invoice now always match. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📋 ADDENDUM CONTRACTS, ATTACHED TO THE JOB ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Send an addendum contract connected to the original proposal. If a client has already signed and you later add work with separate terms, you can create a contract specifically for that addition. Two ways to do it: ``` • Send Contract → Attach to an Existing Proposal • Open the proposal → Send Addendum ``` The addendum appears on the project's Contracts card as: ``` Addendum to... ``` with a link back to the original proposal. The client's copy also clearly states that it is an addendum, not a replacement contract. If the original proposal has not been signed yet, VowProof warns you but still allows the send. • Long product descriptions no longer stretch the Product Catalog. Descriptions now show up to two lines. Hover to see the full text. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 🚀 GETTING STARTED, PROPERLY ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Your Dashboard now includes a Getting Started checklist. It covers the most important setup steps: ``` • Logo and brand color • Email • Stripe • Booking page • Starter workflow • First project • First proposal ``` Each item includes a Set Up button that takes you directly to the correct screen. Nothing is checked manually. A row turns green only when VowProof confirms the setup is actually complete. Once every item is complete, the checklist removes itself. Existing users who do not need it can hide it using the ✕. Starter Plan accounts see six items because connected email is a Professional feature. • New accounts now receive a guided three-screen setup. New users are walked through: ``` • Branding • Connections • First workflow ``` Choose a starter workflow and VowProof creates an editable copy and switches it on. Existing accounts will not see this onboarding flow. • Setup saves as you go. You can close the setup and return later without losing progress. A Finish Setup button remains in the top bar until you're finished. • Setup now asks for your sales tax rate. It also displays your timezone and currency so you can confirm them before sending your first proposal. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 📚 HOW IT WORKS — THE MISSING EXPLANATION ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • A new How It Works page is available under Resources. Resources → How It Works One page explains how these pieces fit together: ``` • Projects • Timeline • Work Orders • Pipelines • Milestones • Workflows ``` Each section links directly to the VowProof screen where that feature is managed. The guide also explains the difference between project-level milestones and work-order pipeline stages. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ ✉️ AUTOMATED EMAILS, CONTINUED ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • Automated emails now show one clean action button. If a questionnaire workflow already adds an Open Questionnaire button, VowProof removes any duplicate questionnaire URL from the message. Other links in your email remain untouched. Portal access emails received the same cleanup. • Form-triggered workflows now start for returning clients too. If a submission matches an existing lead, the workflow now starts exactly as it would for a new lead. If the workflow is already running, it will not be added twice. • Proof and Mood Board emails now stop before sending if a smart field cannot be filled. VowProof tells you exactly which field caused the problem. • Questionnaire confirmation emails no longer sign off twice. If you use an email signature, your signature is now the only closing your client sees. • Business names that already end in a period no longer receive a second one. ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ 🤖 IN BETA: DESCRIBE A WORKFLOW, GET A DRAFT ━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━━ • A small group of studios is testing an AI Workflow Assistant. Templates → Workflows (Invited studios only) Describe what you want in plain language. For example: ``` When a couple signs the contract, send my welcome email, then invoice the deposit three days later. ``` VowProof drafts: ``` • The trigger • Workflow steps • Timing • Your existing email templates • Your existing forms ``` Two important rules: ``` • It never activates or sends anything by itself. Every draft arrives switched off until you review and activate it. • It never writes email copy. Send Email steps use your existing templates. ``` It also recognizes VowProof's built-in Automation Rules. If you ask it to build something already handled by a rule, such as payment reminders or proof reminders, it directs you to that rule instead of creating a duplicate workflow. Any choice only you can make is clearly marked: ``` Needs Your Pick ``` Beta conversations are reviewed to improve workflow draft quality.
