Set up VowProof in 5 days

Switching tools can feel like the hard part. It doesn't have to be. One small task a day — a few minutes at a time — and by Friday you'll have a strong start.

The complete starter walkthrough

The idea

Do one small task a day, and by Friday you'll have a strong start. Every day below includes the exact steps, plus videos, guides, and worksheets to walk you through them — move at your own pace.

Day 1

Quick start setup

Today is all about getting your VowProof account ready and setting up the first pieces of your client booking process. If you haven't completed the warm-up yet, start with Step 1. Already done? Skip ahead to Step 2 and start building your first client booking flow.

Step 1 — Complete your account basics

  • Log into VowProof
  • Add your business information
  • Upload your logo
  • Set your brand color
  • Connect your email
  • Connect your calendar
  • Connect Stripe, if you're ready to accept payments

Step 2 — Map your booking process

Keep this simple. Use the Client Journey worksheet to jot down the first few steps that happen when a new client inquires with you:

  1. 1A lead reaches out
  2. 2You review their inquiry
  3. 3You send a proposal
  4. 4They sign a contract
  5. 5They pay the first invoice or retainer

What you'll need for those steps

Now ask yourself: what do I need for those steps? You'll probably need a lead form, a proposal, a contract, and a few basic email templates. These guides walk you through each one:

Day 2

Workflows & pipelines

Workflows help automate repeatable steps in your client process — like following up after a proposal is sent, or sending next steps after a contract is signed. Pipelines help you visually track where each lead or project is, so you always know what needs to happen next.

Your goal today: Create one simple workflow template, see how it connects to your pipeline, and apply it to a test project.

In today's video and guide

  • Where to build workflows
  • How triggers work
  • How pipelines can support your process
  • How to apply a workflow to a project
  • How to check workflow logs

A great starter workflow is the proposal workflow. You do not need to build everything today — just create one simple starting point you can build on later.

Day 3

Build & revise proposals

Today we focus on one of the most important parts of VowProof: building and revising proposals. By the end of today, you should understand how to create a proposal, adjust the details, preview what your client sees, and revise it when something changes.

What we'll cover

  • How to start a new proposal
  • How to add products, services, quantities, and custom line items
  • How to attach your contract template
  • How to choose a payment schedule
  • How to send the proposal by email or link
  • How to revise a proposal after it has been created
  • What the client sees when they review, sign, and pay

Your action step

Create one realistic sample proposal. It does not need to be perfect — use a real type of project you might sell, such as an invitation suite, save the dates, day-of paper, signage, or a custom stationery project. Add a few line items, choose a payment structure, preview the client view, then make one small revision so you can see how the update process works.

Today's goal is not to build your entire catalog or perfect every setting. The goal is to feel confident with the proposal flow: build it, review it, send it, revise it, and understand what your client sees.

Day 4

The proofing system

Today we focus fully on the VowProof proofing system. This is one of the most important parts of VowProof because it replaces the messy back-and-forth of email threads, PDF attachments, screenshots, unclear approvals, and “which version is the latest?” confusion.

Your goal today: Learn the full proofing loop: upload, send, review, revise, and approve.

What we'll cover

  • How to upload a proof inside a project
  • How to connect the proof to the right work order or item
  • How to set a review deadline
  • How to choose included revision rounds
  • How to send a proof by email or secure link
  • What your client sees when they review the proof
  • How clients leave comments, request changes, or approve
  • How to upload Round 2 or Round 3
  • How proof approval helps you move the project forward

Your action step

Upload one sample proof and walk through the full review process. It does not need to be a real client proof — use a sample PDF, invitation mockup, signage design, menu, program, or any stationery file you already have.

Today is not about mastering every production feature. It is about understanding the proofing workflow clearly enough that you can send a proof, collect feedback, upload a revised version, and get approval with confidence.

Day 5

Guest lists & envelopes

Today is about the part of stationery that nobody talks about until it becomes a nightmare: the guest list. It is not just a spreadsheet — it becomes envelopes, addressing, print prep, vendor handoff, and client review, which means it needs to stay organized from the start. Inside VowProof, guest list and envelope prep stay connected to the project instead of bouncing between spreadsheets, emails, and separate files.

In today's training, you'll learn how to

  • Import a guest list using CSV or Excel
  • Map and preview columns before importing
  • Keep guest details organized inside the project
  • Export guest lists for print vendors or internal review
  • Prep envelope addressing from selected guests
  • Choose envelope size, fonts, and return address style
  • Print or export a print-ready PDF

This is one of those workflows that may feel small at first, but it can save so much time and prevent costly mistakes later.

Guest list in, envelopes out — with less spreadsheet chaos in between.

That's it — five days to a strong start.
